Choosing Corporate Event Entertainment in the Triangle: 9 Questions to Ask Before You Book

A golfer in the Mobile Mulligans Golf truck gets some quick lessons before taking his swings at a local festival.

Booking entertainment for a company event can feel like a leap of faith. The website looks great, the idea sounds fun, and then the real questions start: Will it fit our space? Who runs it? What if half the team has never tried it?

If you are planning a team event, holiday party or client gathering in Raleigh, Durham or RTP, a few good questions up front will save you stress on event day. Here are the ones we recommend asking any entertainment vendor, along with how we answer them for the Golf Truck.

1. Will everyone actually join in?

The best corporate entertainment works for the whole room, not just the people who already love the activity. Ask how the vendor welcomes beginners and keeps quieter guests involved.

For us, this is the heart of the experience. No golf experience needed: our on-site staff explains the game, helps guests choose a club and guides first-timers from their very first swing. Experienced players can dig into their TrackMan feedback or chase the leaderboard, so both groups have fun side by side.

2. Who runs the activity on event day?

Some rentals arrive, get dropped off and leave your team in charge. That can turn your event coordinator into an equipment operator for the afternoon.

Ask whether staff stay on site, and for how long. With the Golf Truck, a staff member stays throughout to manage guest flow, help with club selection and run the games. Your team gets to be guests at their own event.

3. How much space do you need?

This is the question that decides whether an idea works at your location. Get real numbers and ask what surface the vendor needs.

For the Golf Truck, plan for roughly 36 feet of length, 16 feet of width and 15 feet of overhead clearance on a relatively level surface. Steep driveways or sharp grade changes can be a problem, so we ask for photos of the access route and setup area. Our event FAQ covers site details in more depth.

4. What happens if the weather turns?

Late fall and winter in the Triangle can swing from mild afternoons to cold, windy evenings. Ask what the vendor does to keep guests comfortable and what their plan is for severe weather.

The Golf Truck's hitting bay has AC and heat, and a standing heater supports winter lounge setups. Severe weather may still require play to pause or the event to be rescheduled for safety, so it is worth talking through a backup plan with your venue as well.

5. Can it work indoors?

If your event is in a hotel, conference center or warehouse space, ask about indoor setups early. Access routes, ceiling height and power all matter.

Indoor setups are possible when the venue has suitable access, clearance and shore power. Outdoors, the truck is self-contained and does not need an external hookup. We review power and access before confirming any indoor plan.

6. How long are setup and pack-down?

Your venue will want to know, and so will your facilities team. Ask for arrival and breakdown windows so you can plan around other vendors, deliveries and parking.

Our crew arrives 60 to 90 minutes before the start, or earlier by arrangement, to prepare the hitting bay, lounge and music. After the final swing, pack-down typically takes 45 to 60 minutes, and we leave the space clean.

7. What is included, and what do we provide?

Clarity here prevents surprises. Ask for a simple list of what arrives with the vendor and what your team needs to supply.

With the Golf Truck, the crew brings:

• A covered bay of about 250 square feet with lounge seating

• TrackMan technology with 4K visuals and Sonos sound

• Golf clubs, balls and equipment, including right- and left-handed adult clubs

• A choice of game formats, such as Closest to the Pin, Long Drive or a team challenge

• On-site staff from setup through pack-down

Your estimate confirms the event details, the agreed setup and any requested extras.

8. Can it fit the tone of our event?

A team building afternoon, a client thank-you and a holiday party each call for a different feel. Ask how flexible the format is and whether it can blend in with food, speeches and awards.

Golf works well here because guests can play for a few minutes, step back into the lounge to talk and jump in again later. A friendly leaderboard gives the room a shared storyline without taking over the event. You can see more ways companies use the truck on our corporate events page.

9. How does booking work?

Finally, ask how the vendor goes from first inquiry to a confirmed date. A clear process tells you a lot about how the event itself will run.

Our process is simple: share your date, address and timeframe, we review the details and follow up if anything is missing, and then we send an estimate for your approval. You can walk through each step on how booking works, and check our service area if your event is outside the Triangle.

Ready to plan your event?

The right entertainment makes your event easier to host, not harder. Ask the questions, get clear answers and pick the option your whole team will enjoy.

Holiday party season is busy, so send your date as soon as you have one. Check your date and request a quote, and our team will follow up to review your plans.
